The Role

The successful candidate will provide high-quality reception service and administrative service, so a friendly and professional client-facing manner is essential.

Key Responsibilities:

  • You will be responsible for the meeting and greeting of clients in the office.
  • Management of all Meeting Room and Car Park booking requests
  • You will provide refreshments and ensure that all parties are informed that the meeting is ready to take place.
  • You will ensure that the Reception area is fully stocked and beverages are available including procurement.
  • You will ensure all meeting rooms are presentable for meetings and you will co-ordinate the booking of meeting rooms and arranging in-house catering with the office administrator as required
  • You will work with the Facilities team and ICT to ensure the meeting rooms’ equipment is fully working and report any problems in a timely manner.
  • You will be responsible for all Client areas such as Reception, restrooms and cloak rooms are in a respectable condition and fully stocked. You will be responsible for ordering supplies for this area in conjunction with the Facilities team
  • You will be the first port of call for client walk-in enquiries, and you will assist the legal teams in administrative tasks such as the scanning and distribution of both physical and electronic documents and letters and assisting collections; as well as provide other administrative services as required by the client services manager.
  • Cover incoming calls as required in a timely, professional, friendly and courteous manner.

Key areas include:

  • Ensuring the meeting rooms are clear, tidy and ready for use before all meetings.
  • All clients are provided with an agreed level of service.

About You

  • The ideal candidate will have excellent interpersonal skills and focus on quality client care.
  • You will ideally be used to working in a busy and highly professional legal practice.
  • This position will suit someone who is highly organised, accurate, proactive, and who is also approachable and flexible.
  • A ‘can do’ attitude, the ability to multi-task and a keen eye for detail is essential.
  • You should be used to dealing with a busy a varied workload with the ability to remain calm under pressure.
  • You will be a confident IT user with good working knowledge of MS Office i.e Outlook, MS Word, and Excel.
